What Is A Grant?

A grant is a funding mechanism used by national, state and local governments, as well as public and private foundations, to support ideas and projects that benefit the public. Most grants are made to fund a specific initiative or program. Typically, the funding entity outlines particular areas and priorities it will fund. For example, the U.S. Department of Education might fund education research and specific educational interventions across the United States, while a local community foundation might fund arts, education and environmental programming at a local level.

Grant funds do not have to be repaid; they are essentially a gift. However, they usually require compliance to conditions of the grant award, which may include evaluation, reporting, and record-keeping requirements. It is essential that organizations receiving grant awards abide by all requirements, to establish a solid and clean record of compliance.

Who Can Apply For A Grant?

N onprofit organizations, educational institutions, and government organizations are eligible to apply for grant funding. There are also funding opportunities for businesses and individuals, but they are less common. Each funder specifies criteria for the types of applicants it will consider. The criteria usually include public charity status under Section 501(c)(3) of the Internal Revenue Code, geographic location, population served, number of years in operation, and alignment with the focus areas of the funder.

What Types Of Grants Exist?

G rant funds are used to support charitable initiatives. They often fund program design and delivery, research, capacity building, and sometimes capital investments such as technology, equipment and buildings. Grants are available from many different sectors of the economy, for example: arts and culture, science, education, healthcare, and the environmental sector.

Foundations (private and public) and governments (national, state and local) are the primary grant funders. As you research grant funding opportunities for your organization, keep in mind that grant funders have their own vision, mission and objectives. They want to invest in positive change and it is your job to find the funders whose missions coincide with yours.

When you identify funding opportunities that are aligned with your charitable work, you create a win-win-win situation where you help the funder achieve their goals, you have increased your capacity to serve your community, and most importantly, the charitable service is provided to those in need. But first you must understand the different types of granting organizations and their giving history, to know whether you can qualify for funding from them.

How Do You Find Grants?

J umping into a random internet search IS NOT the way to find a grant. Instead, using an efficient and organized approach to the grant search process is key to identifying strong potential grant funders. This begins with creating keywords to facilitate the search (i.e., relevant terms describing the work of your organization). This is a simple process, accomplished by analyzing your organization’s mission and the proposed project for which funding is needed.

Once keywords are established, the grant search begins, using specific grant search engines and other helpful tools. If you want to explore the possibility of applying for federal grants, there is a centralized website with all required information (grants.gov). Other government grant options are not as easily identified, since not all states, counties, or cities have grant information available through a centralized portal. Therefore, you may need to contact individual agencies/offices to learn about their grant opportunities.

Searching for foundation grants, which is where most nonprofits (particularly smaller ones) focus their funding searches, is best accomplished by becoming familiar with relevant grant search engines. It is also essential to learn about other tools available, to arm yourself with as much information as possible regarding potential funders (e.g., organizations and projects funded in the past). A key place to find this type of information is by reviewing foundations’ 990 IRS forms, which are available for public inspection. You will use your identified keywords to conduct grant searches. Once you have found solid potential grantmakers for your organization or project, you will do more refined research by reviewing their website or contacting the funder (if no website is available) with well thought-out questions.

How Do You Apply For A Grant?

M ost funders provide application instructions on their websites. Pay attention to all the details specified. For instance, some grantmakers require that the grant proposal be put into text boxes provided on their websites, and often there is a maximum number of words or characters allowed for each proposal section. In those cases, it is advisable to create the text in a separate document (keeping track of the number of words or characters) and paste each section into the appropriate areas of the funder’s website. Other grantmakers ask that you upload the proposal and other required documents; some specify that it must be a PDF document. In addition to the uploaded documents, other forms will likely be required, providing general information about the applicant.

When applying for federal grants, be sure your organization has completed the registration process in grants.gov well in advance of the application deadline. This is a multi-step process, so you must ensure that all steps have been completed. There have been unfortunate instances of organizations not realizing the registration process was not fully completed, and therefore being unable to apply for a grant when they tried to submit on the deadline day. The same kind of attention to deadlines is just as important when applying for foundation grants.

What Are The Parts Of A Grant Proposal?

I n general, grant proposals contain various sections addressing the key areas that most funders look for in their grant applications. By becoming familiar with these essential components, you will be able to create a proposal for most grantmakers, whether a private or government funding source. Of course, if the funder provides specific criteria to be addressed, you must follow that sequence in providing the proposal information. When funders do not specify, the following is a basic format that is workable for planning and writing your proposals:

Proposal (or Project) Summary

Introduction (Organizational Mission & Philosophy)

Statement of Need (or Problem Statement)

Goals, Objectives, & Outcomes

Project/Program Design: Methodology

Project Management (including role of partners, if applicable)

Evaluation

Plans for Sustainability (post-grant)

Budget and Budget Justification

In addition to the proposal (comprising the elements listed above), supplemental documents are sometimes required. Some of the most commonly requested items are the following:

Financial Statement (frequently an “audited” financial statement)

IRS Determination Letter

Roster of Board of Directors

Organizational Chart

Organizational Budget

Letters of Support

Staff Resumes

Negotiated Indirect Cost Rate (for some federal proposals)

For a more thorough orientation, check out our post that walks you through all the steps of how to write a grant proposal.

Family Foundations

Private family foundations are established by a single individual or family, and their missions and interests vary. Usually, at least one family member serves as an officer or board member of the foundation and will play a large role in managing it. Family foundations make up more than half of all private foundations and range in asset size from a few hundred thousand dollars to more than $1 billion.

The first step in winning any foundation grant is for your nonprofit to make sure that you both share similar areas of interest. Find foundations that will be committed to your organization’s work, as reflected in your mission. Most foundations award grants to nonprofits that will support their own mission, so they can have a positive impact on issues they care about. Thus, mission matching is key.

Corporate Foundations

Many corporations offer grants directly or have a foundation/trust that awards grants on their behalf. Corporate giving programs are created to spread good will in the community and boost the corporation’s image by supporting local events and projects. Over the last 10 years, corporate giving has averaged over $5 billion annually (including employee matching gifts).

When a corporation has a foundation, the grant awards made by that foundation are public information. Funds distributed through an internal corporate giving program, on the other hand, are not public information, and may simply be part of the corporation’s public relations budget. So it may take some digging to determine the kind of organizations they have funded in the past.

Like family foundations, each corporate foundation also has distinct interests and directs its funding toward those specific types of projects. Learning as much as you can about the mission and vision of the corporate foundation, and about what it has funded in the past, is critical to your ability to get corporate funding for your nonprofit (i.e., mission matching). Look for companies that are headquartered nearby, as their funding goals tend to be on a city or state level. Sometimes you can reach corporate foundations through relationships established between your organization and the company. In some cases, corporations have websites with calls for grant applications.

Community Foundations

Community foundations bring together the financial resources of individuals, families, and businesses to effectively support nonprofits in their communities. They vary in size, ranging from less than $100,000 to more than $1.7 billion in giving totals. Typically, a community foundation serves an area no larger than a state.

Unlike family and corporate foundations, community foundations solicit donations from many different private and public sources. But similar to all foundations, community foundations focus their funding on organizations that make an impact locally. They tend to have a much broader reach and are less discriminating in terms of mission, since their limitation is mostly geographical. For this reason, you will not have to mission match, but rather simply demonstrate the positive local impact your organization will have on your shared community.

According to the Council on Foundations, there are more than 750 community foundations in the United States today. Here at Grantli, we have consolidated these community foundations, as well as many other resources, and organized them by state. Go to our state resources page to learn more.

Public Charities

A public charity raises money from the public (individuals, corporations, other foundations, and governments) to provide grants. The IRS does not consider these to be private foundations, since their base of support is typically broadly based rather than from an individual, family, or corporation. While some of these charities do engage in grantmaking activities, most offer direct services or other types of supportive activities. The most popular example of a public charity is United Way, a nationwide coalition of organizations that pool fundraising efforts to provide support to local communities.

The criteria and application process are rigorous; therefore, applying for government grants requires thorough research.

The US government has a single website (Grants.gov) for the display and submission of every grant available through its grant making agencies.
Federal Funds

Federal grant money is public, taxpayer money. The availability of funding in any year depends on the federal budget and on the priorities of the federal agencies that have grant competitions. Because of that, the amount of money available for federal grants to nonprofits is heavily influenced by the political environment, national concerns, and national events. However, billions of dollars of grants are still available every year.

Grant-seeking organizations with the required infrastructure to apply for federal grants should be aware of the many grant opportunities available. There are 26 federal grant-making agencies and more than 900 federal programs in the federal government alone. These include the various executive branch departments as well as organizations like the National Endowment for the Arts, National Science Foundation, and the Environmental Protection Agency, just to name a few.

When searching on a government database for grants, it is important to know your organization and to know what kind of support it needs. Identifying keywords that align with your organization’s mission and needs will help you narrow your grant search.

State, County, And City Funds

Unlike the federal government, state, county, and municipal grantmakers rarely have an easy, user-friendly way of advertising their grants. More digging and research is necessary on your part to find potential non-federal government funders. Directly calling government/departmental offices and specifically asking about grant opportunities is a recommended approach to learn about possible grants for which you or your organization may qualify. Our state by state resources identify local leaders and their contact information as well as various state government websites.

State grants are mostly awarded to agencies and departments charged with assisting or developing programs, as directed by the state legislature. Many of these programs are “pass-through” federal programs, meaning a state agency receives a federal grant award and then makes sub-awards to eligible organizations to carry out the purpose of the grant program. Local grants tend to be smaller amounts and are usually designed as assistance or supplements to larger public grant programs. They may also be funded by state or federal funds.

Grant funding brings nonprofits and funders together in partnership to pursue the same goal. It is an essential mechanism for creating positive impact for public benefit. But knowing how to find funding can be difficult and overwhelming.

To find potential funders that may be a good fit for your organization or project, you’ll have to first have a solid understanding of who you are and what it is you do or are planning on doing. Many online searches will require the strategic use of keywords that capture the type of work your organization does and how the grant money will be used.

Follow these basics steps when conducting your grant search:

Step 1. Identify your search criteria (keywords) by doing a thorough self examination.

Step 2. Use various online search tools (in addition to Google) to narrow your search.

Step 3. Learn all you can about the most relevant prospective grantors and their giving history.

Step 4. Create a shortlist of the most viable funders, with pertinent information and deadlines.

Step 5. Begin a personal correspondence with a program officer.

As you navigate your grant seeking journey, be sure you are clear on the need that exists and the problem you are addressing, the impact you are making, and how you will measure that impact. Once you’re clear on your purpose and the important community issues you will address, you will be able to align with funders whose mission and goals match your own.

Whenever possible, develop relationships with your prospective funders. Relationships give you a greater understanding of their perspective. If that’s not possible, make sure you understand what the funder is trying to achieve and use language that makes it clear that your work helps them achieve their own mission.

Proposals are typically written with a specific goal in mind, often achieved through a project or program. The proposed “initiative” must be carefully planned and executed, while showing tangible results.

Drafting a grant proposal can be an intimidating task, but it certainly doesn’t have to be. While it is true that creating proposals takes time and dedication, the process can be simplified by using a practical system, as most veteran grant writers will confirm. Based on many years of grant writing experience, we have created the Grantli writing system, a 14-step process divided into 4 distinct phases.

For today’s purposes, we will focus on the written narrative portion of a proposal. The KNOW & WRITE sections of the Grantli writing system (specifically steps 1 and 4-12 — see image above) form the majority of our narrative. Let’s look at these steps in more detail.

Mission and Philosophy

Before you waste your time searching for grants or even learning how to best search for grants, you have to be armed with the knowledge of whom your organization is and what exactly it is that you do, have done, and are planning to do in the future. It is important to have a clear understanding of your organization’s mission. Expanding upon that, explore your philosophy and approach. What is it about your execution that makes you unique or different from other entities with similar missions? Demonstrate your expertise and how you can solve the problems of your community.

Statement of Need

A solid statement of need is the soul of any proposal. Ask yourself what problem you want the funder to help you address, what potential collaborations will facilitate addressing the problem, and the results of not effectively addressing that problem. Demonstrate a need for your solution within the larger context of the community. Regardless of what you are seeking funding for, the need must be framed within a larger context.

Goals, Objectives, and Outcomes

Your proposal should state exactly what you hope to accomplish through your proposed project (goal or goals) and spell out the specific results (objectives/outcomes) you expect to achieve. Using the SMART criteria (Specific, Measurable, Attainable, Relevant, Time-Bound) is an effective way to create objectives.

Project/Program Design: Methodology

Every proposal must have a clear description of the proposed project and describe the methods involved to achieve specified objectives. Answering the basic questions of who, what, when, where, and how will describe how funds will be spent to reach the stated goal(s), if the grant is awarded. This clear description of how the organization plans to achieve the desired outcomes, with a timeline and detailed work plan, is essential in any successful proposal.

Project Management

While this section often will fall under the program design, we separate it out in order to clearly detail all organizations and individuals involved in implementing the program. This section should describe all staff involved, as well as any volunteers. This is also where you will detail the role of partners within the project (if applicable). Such roles might include providing services that are complementary to those of the applicant organization. If any contractual services are required to effectively implement the project/program, those activities will also be described in this section of the proposal.

Evaluation

Accountability to funders and stakeholders is crucial, particularly for organizations that are recipients of grant funds. All successful grant proposals describe the process to be used to evaluate the program and measure success in achieving desired outcomes. In this section of the proposal, funders look for evidence of a thorough evaluation plan, including establishing benchmarks, providing updates, and using evaluation results to improve project implementation and demonstrate overall project results. Oftentimes organizations will hire an outside evaluator to get an objective assessment of the project’s progress. The cost of this evaluator and any data collection carried out as part of the evaluation process should be included in the budget.

Sustainability

Organizations seek grant funds to help achieve their goals. However, successful grant proposals will clearly highlight the organization’s ability to continue providing services/interventions/programs after a grant ends. Funders (especially foundations) do not want to be the sole source of dollars for a project. Explore and describe potential funding mechanisms that will be in place to support your program well beyond the life of the grant. This might include community fundraising, partner contributions (monetary or in-kind), or other approaches (brainstorm with the project team, including external partners). Long term sustainability is very attractive to funders and demonstrates an organization’s competence and value.

Putting It All Together

Every potential grant will have its own specific requirements. It is important to provide just enough information to fulfill those requirements. Including superfluous information in a proposal can be just as damaging as failing to include requested elements. Follow directions ‘to a T’ and structure each proposal according to the specified requirements. Use the power of prose, but know your audience (the funder) and make sure your proposal narrative matches the style and tone of that funder.

The Budget

The budget is an integral part of the proposal and should not be viewed as an afterthought. Research and evaluate actual expenses for the project and make sure costs included in the budget support the proposal’s narrative. Ask only for the amount you need in each budget section. Do not leave out major sections and do not assume your numbers will make sense without detailed explanations. Funders do not have the time to fact-check your budget, but many will be familiar with realistic budgets and will know if something seems impractical.

Summary (Abstract)/Appendices

The summary covers the overall goal(s), objectives, and key points of the proposal. It is the first part of your proposal, but it is wise to write it last, so that you are best equipped to summarize the project in its entirety. Pick out the key points from each section to encapsulate whom you are, what problem you are addressing, your proposed solution, how you plan to carry it out, and the amount of your request. Pay close attention to any required attachments (appendices), such as proof of non-profit status, letters of support, an organizational budget, a listing of board members, or other requested documents.

Writing a strong grant proposal entails providing all required information in a way that demonstrates your passion for the work you do and enables the funder to envision the project. Grantli’s systematic approach for developing the narrative provides a workable blueprint to craft any proposal. By simply focusing on the KNOW and WRITE sections of the Grantli writing system, you will be able to develop the full proposal narrative. To summarize, you will begin by describing your organization and identifying the need to be addressed. Then you will present the proposed solution (project, program, new approach, etc.) to address the identified need, followed by the goals/objectives/outcomes of the project. You will also describe how the project will be implemented (activities and personnel, to include any partnerships) and specify plans to evaluate and sustain the project. Finally, you will include a clear summary (to be placed at the beginning of the proposal), provide a detailed budget, and attach required documents. The use of such a practical progression to fully explain your project will result in a cohesive, concise, and compelling grant proposal.
